Club Committees
All club members are expected to serve on at least one club committee. These committees are the backbone of our club and are the quickest way to meet new friends.
International
- Monitor Rotary International’s annual international focus and ensure club’s focus coincides when possible
- Monitor project database from Rotary International in search for new club projects and international partners
- Solicit and/or evaluate proposals for international projects
- At the beginning of the fiscal year and additionally as required, meet with the projects committee for funding and approval of new or existing international project
- Raise outside funds if required to fund international project
- Identify international club partner, develop necessary contacts and positive working relationships, and maintain contact throughout scope of project.
- If seeking any grant funding from Rotary International, complete all related and required paperwork.
- Recruit project participants from club membership
- Maintain and submit status reports as requested
- Monitor club interest levels in current or prospective projects to ensure active participation
- Maintain histories of current projects and evaluations

Meeting Materials
- Maintain the large boards where badges are stored
- Repair broken badges
- Pick up badges from manufacturer and bring to meeting
- Maintain all standard materials for meeting setup
- Oversee member sign-in
- Handle guest and visiting Rotarian registration and/or payment and deliver list to secretary before meeting begins. When possible, confirm pronunciation of guest names.
- Collect any materials from members to be delivered to Rotary office following meeting
- Distribute new member packets as requested
- Collect meeting materials from Rotary office by 10:30 am on meeting day
- Distribute member mail and material from office
- Setup meeting room with appropriate flags and Rotary banners
- Setup head table, reserved tables, and distribute table handout materials
- Collect all materials from tables at end of meeting, pack up all supplies, and return to Rotary office.
- Assist speaker and speaker guests with program setup

Membership
- Recruit new members with special emphasis on prospects at the corporate executive level
- Increase membership levels among minorities and younger up and coming professionals
- Involve club members in focused recruitment of minorities, younger members, retirees, and specific professions in the community
- Identify specific individuals for recruitment and pursue appropriately
- Identify specific companies or organizations in community that should have Rotary representation and pursue appropriately
- Host prospective members at a Rotary luncheon
- Serve as new member mentors or recruit appropriate Rotarians to do so
- Develop a Rotary message to be used in membership development
- Plan activities as needed to encourage fellowship and increase retention
- Safeguard and promote Rotary values and philosophy

Programs
- Work with Rotary office to establish schedule of Rotary meetings for the year
- On days when Rotary cannot meet in the convention center, find alternative meeting location and make necessary arrangements for the meeting at that site
- Maintain a list of desired speakers and topics of interest
- Review, evaluate and prioritize speaker and/or program suggestions from club membership
- Stay current with topics of interest and schedule tie-in speakers where appropriate
- Arrange for speakers or appropriate programs for each scheduled Rotary meeting
- Involve other Rotarians where appropriate in scheduling desired speakers
- Confirm meeting specifics with speaker and forward necessary details to Rotary office
- Schedule club member for speaker introduction and review introduction guidelines with him/her
- Maintain current calendar of speakers, introducers, and other necessary contact information
- Send thank you note to speaker following his/her appearance
- Arrange for and handle details related to regular meeting entertainment/patriotic moment to showcase local talent.
- Schedule club members to deliver weekly invocations
- Work with Rotary office on agenda to smoothly incorporate necessary club business into weekly programs

Project Study
- To continually evaluate new and existing projects
- To allocate Memphis Rotary Foundation funds collected specifically to fund community service projects approved by the boards.
- To make recommendations to the boards regarding funding, project status, and new project approval.
- Analyze annual budget for community service projects and establish funding guidelines.
- Near the end of the fiscal year, prepare board reports evaluating the service projects undertaken during the year
- Evaluate new project proposals from the membership
- Monitor community needs to determine best role for club service
- Monitor club interest levels in current or prospective projects to ensure active participation
- Maintain histories of current projects and evaluations
